The Federation of PHS/JASHS Alumni Associations (“the Association,” “we,” “us”) operates jashs-phs-alumni.org. This notice explains how we handle personal information submitted through our website, membership application, member accounts, contact form, and related alumni activities.
Information we collect
- Account and identity information, such as name, username, email address, and securely stored password credentials.
- Alumni verification information, such as whether you attended PHS or JASHS and your graduation year or batch.
- Profile information you choose to add, such as a profile photo or other optional details.
- Messages and information submitted through the contact form.
- Basic technical and security information, such as IP address, browser details, login activity, cookies, and server logs.
Why we use this information
- To review and verify alumni membership applications.
- To create, maintain, and secure member accounts.
- To administer the alumni directory and control who may view it. The directory is currently restricted to website administrators.
- To respond to inquiries and send membership status or service-related messages.
- To prevent abuse, investigate security incidents, maintain records, and comply with applicable legal obligations.
We process information only for these stated purposes and on an appropriate basis, including your consent where consent is required. We do not sell personal information.
Who may receive information
Access is limited to authorized Association officers, membership volunteers, and website administrators who need the information for their duties. Information may also be processed by trusted service providers that support website hosting, email delivery, backups, security, and spam prevention. We may disclose information when required by law or necessary to protect members, the Association, or the website.
Directory privacy
Membership application details are not displayed publicly. School and graduation-year information on the application form is visible only to the applicant and authorized administrators. If broader directory access is introduced later, members will be informed and the directory settings and this notice will be reviewed before the change.
Retention
Approved membership records are retained while the account remains active or while needed for legitimate Association records. Rejected or incomplete applications should be deleted or anonymized within 12 months unless a longer period is required for security, dispute resolution, or legal compliance. After a verified account-deletion request, information will be removed from active systems within a reasonable period; limited backup copies may remain until the normal backup cycle expires, ordinarily no longer than 90 days.
Your choices and rights
You may request access to, correction of, or deletion of your personal information; object to or withdraw consent for consent-based processing; and exercise other rights available under the Philippine Data Privacy Act of 2012. Some records may be retained when required by law or for legitimate security and administrative purposes.
To make a privacy request, use our contact page and identify the request as a privacy concern. We may ask for reasonable verification before acting on a request. You may also learn about your rights or file a complaint through the National Privacy Commission.
Security and updates
We use reasonable administrative and technical safeguards and limit access according to assigned roles. No online service can guarantee absolute security. We may update this notice when our practices, directory access, or legal obligations change; the updated date will appear at the top of this page.
